Swimmerz Academy's Policies

• New Learn to Swim & Squad participants undergo a swimming assessment by a qualified instructor to determine their swimming ability and class/squad level. This will be arranged with the front desk reception prior to your first lesson with Swimmerz Academy.  Assessments are free and go for the duration of the lesson.

• Please be on time for your class. We recommend you arrive at least 10 minutes before your class commences to allow for you. Swimmerz Academy does not refund for late arrivals.

• Unless completed prior to your lesson, you will be given an enrolment form upon your arrival which must be completed in full by a parent or guardian, for each child participating in LTS / Squad classes.

• Students will be assessed by the Learn to Swim Coordinator/Supervisors discretion and can be viewed through the Swimmerz Portal.

• Certificates for progression will be issued through the Swimmerz Portal. 

• All communication in regards to level changes are to made with the front desk staff.

• Students must not enter the lesson lanes until instructed by the Learn to Swim instructors or coaches.

• ALL non toilet trained infants/babies must wear an Aqua nappy (available for purchase at reception).

• All Learn to Swim students should wear a swim cap, goggles and proper swim wear. Board shorts and rash shirts are not recommended as it hinders stroke development.

• Squad members are required to wear proper swimwear, a swimming cap, goggles and have their own equipment, such as kickboard, fins, snorkel & paddles depending on the squad.

• Coaches and instructors may change without notice, should a coach and instructor be sick or unavailable. We will endeavour to give parents notice where possible of who the replacement coach or instructor will be where possible.

• Parents are not to interrupt classes to talk to Instructors or coaches during swim sessions. 

• If your child is sick, please do not bring them to their lesson. Your child should be free from fever, diarrhoea & vomiting for 24 hours prior to their lesson. 

• A child with an open wound, bleeding, head lice or conjunctivitis will not be admitted to the class.

• An enrolment and payment authority form for each child must be completed in full by a parent or guardian in order for the enrolment to be processed.

• Students will be assessed by the Learn to Swim Coordinator/Supervisors discretion and can be viewed through the Swimmerz Portal.

• Certificates for progression will be issued through the Swimmerz Portal.

• All communication in regards to level changes are to made with the front desk staff.

Swimmerz Academy will be closed on Public Holidays.

• Students with Learn to Swim classes that fall on a public holiday are not charged for these classes.

• Squad members are to check with their coach for training times and sessions.

• If squad session falls on a public holiday, a makeup session on another day will be booked in for that month.

Swimmerz Academy Learn to Swim classes and Squads run on a rolling month by month basis and not by School Terms;

• A one time $9.95 Membership fee upon initial enrolment will be charged per family. 

• Lessons are charged on a pro rata basis. This means that you will only be charged for the number of lessons assigned by the calendar for each month.  

• If you begin classes after the first lesson of the month, your first months’ fees will be calculated on a pro-rated basis, and this initial payment will be taken as an upfront, over the counter payment. 

• Enrolments are possible after commencement of the month but are dependent on availability.  

• We run a continuous 49 week annual cycle – All enrolments require a continuous monthly payment through direct debit on the 1st of every month or two months upfront payments either cash or direct debit to ensure your position in the program. 

• Swimmerz Academy offers a 5% discount  for 3rd and 4th child enrolment, and is available for additional Learn to Swim classes. 

• NO CREDITS OR CASH REFUNDS will be given for missed Learn to Swim or Squad sessions.

• If you are unable to attend a lesson you must give Swimmerz Academy at least 4 hour notice by calling 02 90594075 or cancelling through our Swimmerz Portal.

• Make-up lessons will be granted due to unforeseen circumstances or illness, provided adequate notice has been provided. A medical certificate will be required for extended periods of absence.

• Make-up lessons are subject to availability and can only be booked one week in advance through the Parent Portal

• Once make-up lessons are booked they cannot be cancelled, if cancelled it is considered used.

• Make-up lessons must be taken within 45 days.

• Private Lessons – In the event of an instructor’s absence the lesson will go ahead with an alternative instructor unless other arrangements have made.

• Private Lesson – In the event no notice is given no make-up lesson will be provided and full payment will be required.

School Holiday Holds & Absences

If you wish to place your Learn to Swim enrolment or Squad membership on hold during the school holidays or while you are away on holidays, please note the following:

• A minimum of two (2) weeks' notice is required to place a class or squad position on hold.
• Hold fees apply to all approved holds.
• The maximum hold period permitted is six (6) weeks.
• Absences during school holiday periods should be managed as make-up classes, which can be booked through the Parent Portal, subject to availability.

Medical Exemptions

If your child is unable to attend due to illness or injury, an exemption from hold fees may be considered on a case-by-case basis. Requests must be submitted to management and be supported by a valid medical certificate. Approval is at the discretion of management.

Cancelling Learn to Swim Classes or Squad Membership

Should you wish to cancel your Learn to Swim enrolment or Squad membership, you may do so via your Parent Portal.

Please note that a minimum of 30 days' notice is required to withdraw from Learn to Swim lessons or Squad programs. Fees will continue to be charged during the notice period, and your child may continue attending classes and training sessions until the cancellation date takes effect.
